How to caption Online Meetings/Class/Video/Podcast/Youtube/Stream on PC

Caption an Online Video, Podcast, Youtube, streaming, etc

  1. Download and install Ava by clicking here.

  2. Log in using the method you chose when registering (Google, Mail, Phone, Facebook, Apple)

  3. Launch the Ava software. By default, a floating banner session is launched.

4. Click on the four arrows to display the settings:

5. In the left-hand menu, select "Ava Mic" as microphone. This will transcribe the sound from your PC:

🎛 Controls for volume/mute :

This gives you the ability to control the sound coming from your computer.

🔇 Mute the sound of your environment

With "Ava Mic", the software transcribes the sound of your computer and the room. This button 🔇 on the left allows you to mute the transcription of your environment.


Caption an Online Meeting with Ava Connect (Zoom, Teams, Google Meet)

For Zoom, Teams & Google Meet users: we recommend that you use Ava Connect, for greater ease and accuracy.

*only available on computer (Ava CC or Ava Web)

If you can't use Ava Connect, then follow the instructions below. It also details the Zoom, Teams and Google Meet steps.

Caption an Online Meeting

Step 1: Launch and configure Ava

  1. Download and install Ava by clicking here.

  2. Log in using the method you chose when registering (Google, Mail, Phone, Facebook, Apple)

  3. Launch the Ava software. By default, a floating banner session is launched.

4. Click on the four arrows to display the settings:

5. In the left-hand menu, select "Ava Mic" as microphone. This will transcribe the sound from your PC:

📹 Step 2 : For Zoom

1. Start the Zoom meeting

2. Once you are in the meeting, click on the ^ icon next to where it says Mute. Change the settings to where you want the sound to go in/out.

🎙 Microphone: it should be set to your Bluetooth headset or your computer's microphone (if you want to talk).

🔊 Speaker: Select the device on which you want the sound to be output.

📹 Step 2 : For Google Meets

1. Start the meeting on Google Meets

2. In the bottom right corner, click on the 3 dots (bottom center) > Settings

3. Under Audio, change the settings to the following:

🎙 Microphone: this should be set to either your Bluetooth headset or computer's microphone (if you want to speak)

🔊 Speaker: Select the device on which you want the sound to be output.

📹 Step 2 : For Teams

1. Start the Teams meeting

2. At the top center of the screen, click on the 3 dots ''Others'' > Audio settings

3. Under Audio settings, modify the parameters:

🎙 Microphone: it should be set to your Bluetooth headset or your computer's microphone (if you want to talk).

🔊 Speaker: Select the device on which you want the sound to be output.

Step 3: Watch Ava caption away!

​🗣 Captions show as "You" and the "Speakers" :

"You" refers to the sound that comes into your computer's microphone (whatever you say out loud)

"Speakers" refers to the sound coming from within your computer (whatever anyone on Zoom says)

🎛 Controls for volume/mute :

This gives you the ability to control the sound coming from your computer.

🔇 Cut the transcription of your environment

With "Ava Mic", the software transcribes the sound of your computer and that of the room. So when you're talking or someone is talking around you.

This button on the left lets you mute the sound of your environment. Useful if you're in a noisy environment, to avoid transcriptions from colleagues or people who aren't in the video.


Tips to enhance your experience

💡To improve the accuracy of Ava, encourage meeting participants to use Bluetooth headphones/mics

💡Position the Ava window below your video conference window so that captions can be read easily while staying engaged in the meeting

💡Click on the keyboard icon on the right, below the microphone icon, to write and vocalize what you have to say.

💡Switching to full-screen mode gives you access to all Ava settings, such as microphone selection, translation mode, etc.
